Summary            

Supervise the Logistics team and provide liaison with internal production team in relation to shipping regulations and requirements. Work performed is in accordance with ICH E6 Guideline for Good Clinical Practice.

Responsibilities

Essential Functions

•Plan and organize daily workload for Shipping team, ensuring timely dispatch of material to investigator sites. Supervise the production of courier consignment notes/labels and proforma invoices and all other documentation for outgoing and incoming shipments.

•Provide consultation to Project Management, sponsors and/or CROs to ensure compliance with origin country's export and destination country's import regulations and practices. Initiate and maintain close, collaborative working relationships with sponsors and project management before startup and during shipping life of all projects in the region. Provide internal and external customer consultation to ensure international projects launch on time and run smoothly relative to logistics and regulations.

•Advise and support importers by creating project-specific documentation needed for their import permits. Research, select, and set up courier services that meet project requirements on a site-specific basis. Meet with courier representatives to discuss and review their performance, pricing, problems and metrics. Look for areas in which to reduce current courier rates, working with the finance department to bring costs down.

•Resolve problems related to customs or courier delays.

•Identify, classify, and document hazardous materials for shipment. Provide expert interpretation of regulatory requirements related to hazardous shipping and import/export regulations.

•Ensure that all lab reagents, controls or samples are packed and shipped compliantly.

•Oversee programming for all airway bills and other preprinted shipping documentation or labels to ensure regulatory and courier compliance. Provide technical guidance and hands-on assistance to departments shipping on courier hardware or desktop shipping programs.

•Maintain full IATA certification and provide function-specific training to staff as needed. Schedule and host annual inhouse IATA regulatory training programs for all staff requiring it.

•Serve as primary point of contact for Logistics Department in manager's absence.

•Participate in development of standard operating procedures for logistics and related regulatory matters.

•Manage staff in accordance with organization’s policies and applicable regulations. Responsibilities include planning, assigning, and directing work; appraising performance and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems. Approve actions on human resources matters.

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

Experience

  • Requires a minimum of 2 years of prior relevant experience.

Education

  • Bachelor's Degree                                         

 Skills and Abilities

  • Expert knowledge of air express shipping and related regulations, and import and export regulations                       
  • Ability to organize and implement courier services to support clinical trials on a site-specific basis                              
  • Ability to communicate and collaborate with people of diverse cultures at many levels of management                  
  • Ability to communicate or explain logistics or regulatory issues and resolutions to internal and external customers          
  • Ability to prioritize and work on several projects at once
