This Project Executive role offers a fantastic opportunity for those wishing to develop a career in medical communications with a focus on project management of communication and event programmes.  Ideal candidates will have a passion for organisation, timelines/deadlines and communication in addition to great filing/housekeeping and self-management.  Within the role, there is the opportunity to works across medical education, medical affairs and commercial projects with pan-European and US based clients.  
•         Set up and maintain all project documentation files and records
•         Prepare project post event files
•         Support with internal financial process on projects including raising and reconciliation of purchase orders
•         Assist with the creation and coordinate all information and communications for assigned projects
•         Update and maintain internal databases, tracking systems and project plans with project specific information
•         Prepare, analyze and distribute status, tracking and project finance reports
•         Prepare presentation materials for meetings and project summary data
•         Co-ordination of materials review process via Zinc or similar review systems as per client specifications
•         Supporting the project manager with effective supplier liaison and management in delivery and financial processes
•         Coordinate project team and customer meetings, identifying and planning appropriate medium (Web, telecom, face to face) and ensuring arrangements are handled appropriately. Determine and plan all meeting requirements in advance, as directed by the Project Manager
•         Support with booking travel arrangements for project managers
•         Supporting project manager with liaison with congress organisers for technical aspects of exhibition delivery
•         Take and record minutes, notes and actions at assigned meetings, distribute and follow up accordingly
•         Coordinate with other project support staff within and across the organization to identify and consolidate support processes
•         Will serve as backup contact for internal project team as designated by project manager
•         Will undertake project management activities as directed by project manager
•         Preparation of project evaluations and key performance indicator reports

o 1-2 years in a medical communications, events, PR, advertising or similar agency environment
o Customer service or project administration experience
o Strong computer skills in Microsoft Word, Excel, PowerPoint and Outlook
