Meetings Coordinator, Investigator and Scientific Meetings

The Meetings Coordinator is responsible for handling project activities under the supervision of the Meetings Planner including the following;
• Delegate travel booking
• Managing transfer and rooming inventories
• Use of event software to manage registrations for face to face and virtual meetings
• Handling delegate enquiries via email and telephone
• Onsite implementation requiring global travel
• Accurate communications and tracking of delegate information

This role would be particularly suitable for candidates with some meetings logistics/events experience or you will be a recent graduate with an events degree.
If you have some events experience within Pharma or Healthcare Communications this would be ideal, however applicants from other industries will also be considered.
You will have a keen eye for detail, strong communication skills and the confidence and interpersonal skills to negotiate with vendors and speak to key stakeholders.
You will be required to work longer hours during event dates.  You will be joining a friendly, flexible and sociable team and work for a truly global organisation.

The IQVIA Investigator and Scientific Meetings team provides comprehensive event management services for face to face and virtual meetings.  Our services include event design and production and innovative technical solutions to ensure enhanced engagement and learning, as well as full meeting logistics services.  Our logistics team are passionate about what they do and have an impressive record of excellent client and delegate feedback.  They take pride in quality delivery and have a strong teamwork ethic.  In the last year we’ve delivered over 100 meetings in more than 50 countries, ranging in size from 20 to 500 delegates.


Required capabilities / experience:
Knowledge of some aspects of event/delegate management
Excellent team worker
Ability to work creatively in a fast-paced environment and to meet demanding timelines.
Adaptability and flexibility to changing priorities and ability to work simultaneously on multiple priorities
Cross-functional collaboration required
Exceptional attention to detail
Flexible personality and a quick learner who operates with a sense of urgency
Strong communication and interpersonal skills including developing customer service skills and supplier management experience
Capacity for understanding financial activities
Good problem solving skills
Strong organisational, planning and logistics skills, satisfactory project management skill development
Strong software and computer skills, including MS Office applications.
Degree or equivalent combination of education, training and experience
Must be fluent in written and spoken English
