Onboarding Specialist

Overview:

This position will be involved in all Human Resources administrative work which relates to various HR programs. This includes data entry and applicant tracking related to onboarding employees at Novasyte.  This person will be instrumental in the timely processing of onboarding paperwork, raising issues to management when need be and closely collaborating with internal employees to be sure candidates are onboarded in a timely fashion to meet client requests. This also includes providing administrative support to recognition programs, benefit programs and ongoing diversity efforts. This role is usually the first point of contact for many of Novasyte’s current as well as prospective employees, and should be able to field and address a variety of Human Resources related questions.

Responsibilities:

  • Oversee data entry and tracking of all individuals onboarding to Novasyte. This includes understanding the overall process and ensuring data accuracy is maintained at all times
  • Resolves inquiries posed by new and existing employee population regarding HR programs and support
  • Review and follow up on new hire packages to ensure that packages are complete, ensuring accuracy and completion of documents
  • Collects, manages and verifies credentialing information for all prospective and active employees. This includes things like professional licenses and TB tests are up to date and valid
  • Communicate areas of concern with employment applications to management
  • Identify and support ongoing process improvements, enhancements and projects
  • Make and deliver company badges to new employees
  • Process employee changes, terminations, program changes, and payroll adjustments.
  • Provide support to other HR Projects as needed such as open enrollment, diversity outreach and recognition programs.
  • Practices a high level of confidentiality and secure management of all data collected and reviewed.

Preferred Qualifications:

  • 0-3 years of recent and relevant experience providing support tasks within a human resources environment
  • BA/BS or equivalent experience in Human Resources or job related training
  • Solid customer service skills and ability to handle highly sensitive/confidential information
  • Strong oral and written communication skills
  • Flexibility in responding to unanticipated situations
  • Excellent time management and multi-tasking skills
  • Organizational skills and attention to detail
  • Proactive approach to problem solving
  • Strong work ethic and willingness to take ownership
  • Strong sense of urgency, initiative and drive
  • Ability to manage sensitive and confidential information
  • PC skills in Windows environment (Word, Excel, PowerPoint, and Outlook), experience with ADP and expense management systems a plus
  • Ability to use a standard computer, talk on the phone and sit for extended periods of time
