FTE: 1

• Serve as the post go-live point of contact for all internal and external queries related to Coupa

o Support for level of supplier queries related to change in Payment terms

o Answer incoming calls and/or requests when required, troubleshoot, resolve issues and provide first call resolutions for suppliers and internal Coupa users

• Monitors VIA for business related tickets and routes appropriately (e.g. to IT for technical resolution)

• Liaise with the IT Support team to address concerns, issues, etc.

• Escalate questions or issues to other personnel as necessary (Category Managers, AP, Project leads, etc.)

• Prepare weekly summary and metric reports by collecting, analyzing, and summarizing information and trends of all support activities, tickets, etc.

• Offer recommendations for how to improve end user experience or drive operational efficiencies

• Propose long term solutions for common issues/trends – e.g. users consistently having the same question recommend updates to training or increase in communications

• Proactively identify training opportunities and provide recommended solutions to enhance the overall interaction of inbound caller experience

This position will help create general communications to suppliers and internal Coupa users in accordance to the overall Communications Plan and Schedule.  This individual will contribute to the development of information to be used on the intranet, organize meetings and presentations, and interact with users to effectively deliver the Coupa project.

• Develop and manage delivery of a comprehensive and coordinated internal communication strategy that supports the projects goals

• Continuous promote Coupa using internal communication channels (as well as establish new channels) using the full range of tools including but not limited to iQ articles, newsletters, Town Hall events, cascade briefings, etc.

• Monitor the company’s internal social media: Yammer, iQ, Sharepoint, etc.

• Respond to questions regarding the project: Schedule, waves, usage, etc.

• Organize and direct general information sessions/meetings with Ambassadors, SMEs, etc.

• Serve as a point of contact for all internal queries related to Coupa and escalate questions or issues as necessary

• Prepare weekly summary and metric reports by analyzing and summarizing information and trends of all communications activities

The Training Coordinator responsibilities include communicating with managers or key personnel to identify training needs and mapping out training material.  The Training Coordinator will be responsible for the overall management, design, development and coordination all Coupa training.

• Partner with internal stakeholders and liaise with Coupa experts regarding training material design

• Coordinate with project Ambassadors to develop a training plan by wave and/or country

• Design and develop training material for Coupa users by role, country, language, etc.

• Host train-the-trainer and other group sessions for internal subject matter experts

• Gather feedback from trainers and trainees and adjust material as necessary

• Develop and maintain training and support materials to be used for reference

Data Preparation & Management

This position assists the Project Team in providing expertise to manage and analyze data and report results.   The data analyst will be responsible for the collection, recording and retrieval of information needed for the successful implementation of the Coupa project. They will review data in source systems, verify the accuracy of the information, prepare reports and manage corrections and updates to the data.  Specific responsibilities include but are not limited to:

• Collect and transform Supplier information to be loaded into Coupa and EBX

o Analyze existing supplier information, identify and resolve gaps to ensure data is complete and accurate

 Request and chase input from different information sources (e.g. input, review with sourcing managers, AP managers, SAP and PSFT experts, etc)

o Manage Coupa communications sent to Suppliers

 Draft and/or send email communications to suppliers, track participation responses, respond to questions, and compile and analyze metrics

• Verify accuracy and completeness of data loaded into Coupa and Supplier Master Data (EBX)

o Compile and track data mismatches between ERPs, Coupa and Supplier Master Data (EBX)

o Issue daily and weekly update on progress (how many suppliers are ready to be loaded, results from test loads etc)

• Work with cross-functional teams and subject matter experts to identify and document repeatable processes for all future Coupa waves

• Support other data preparation activities as needed
