Job Description:

Key Responsibilities:

  • Conducts a range of diverse administrative or staff functions, which may include finance, human resources, information technology, planning, supply, and other corporate services
  • Produces documents; collects, records, sorts and files information;
  • Handles mail; prepares routine reports
  • Makes travel arrangements; arranges meetings and appointments; responds to inquiries; and operates office equipment; orders supplies
  • Performs diverse and advanced secretarial and administrative duties for several senior executives and ad hoc assistance to the wider team.
  • Follows up with other departments to ensure that requests are carried out.
  • Checks and processes expense reports for several senior executives.
  • Raises PO’s and prepares invoices, following the process through to ensure payment.
  • Proactively handles complex calendar and logistical arrangements for executive team travel, supporting meetings and client events across Europe/US Including liaison with client teams and business partners
    • Catering, travel arrangements (hotel, car, flights, dinners)
  • Makes new hire set up requests and plans on-boarding logistics
  • Ability to manage multiple stakeholder relationships up to a senior level.
  • Highly organized with an eye for detail and accuracy.

Skills, Education and Experience Required:

  • High school or equivalent diploma and advanced administrative training with proven prior related experience.
  • Excellent working knowledge of commonly used Microsoft applications, including Outlook, PowerPoint, Excel and Word.
  • Experience of complex international diary management, travel and accommodation scheduling
  • Knowledge of other applications such as Concur, Condeco and SAP would be an advantage, but not essential.
  • Strong communication, organizational skills and discretion essential.
  • Proven experience within a fast paced organization delivering efficient and reliable administrative and co-ordination support
  • Enthusiastic proactive team player.
