IQVIA is a global leader in healthcare intelligence. We are looking for an experienced coordinator to join our in-house team based at our UK head office in Reading, Berkshire.  

We are a fast paced and rapidly changing organisation, and our Global Business Operations (GBO) Department provides leadership in areas such as global proposal development; contract management and legal contract support.  We are looking for an experienced coordinator to support our Process Optimisation and Training teams, within GBO.

This person will have all round coordination experience, be extremely detail orientated and have the ability to support across multiple teams and projects. You should be happy to take on a range of responsibilities and demonstrate flexibility in handling a variety of administrative tasks.

RESPONSIBILITIES may include

  • Arrange and schedule meetings and web conferences with internal and external parties.
  • Coordinate travel schedules making recommendations for cost saving and effective alternatives.
  • Compile meeting agendas, take and distribute minutes and follow up on action points, escalating issues where appropriate.
  • Maintain and manage the team’s mailbox, responding or referring emails as appropriate
  • Maintain training database, and support with project planning across Training and Business Process Optimisation
  • Maintain the departments Process Documentation infrastructure, and co-ordinate the review and approval cycle.
  • Support Project Managers with administrative duties as required, on assigned projects.
  • Independently research, compile data and compose both routine and non-routine correspondence, reports and presentations for review and final revision by manager. Routine items may be dealt with independently as delegated by the manager.
  • Ensure that requested management information including Human Resources data is submitted accurately and to timescales.
  • Undertake projects, research data and make special studies, requiring independent decisions and conclusions.
  • Serve as an information source for department, answering questions, making referrals as required, and conducting required research.
  • Assist in the development and design of improved administrative procedures to promote the timely processing and submission of all administrative deliverables.
  • Perform other duties as required.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of Microsoft Office applications, particularly Excel and PowerPoint.
  • Knowledge of MS Project is beneficial
  • Ability to exercise judgment within procedures and practices to determine appropriate action.
  • Ability to work within well defined guidelines and procedures.
  • Ability to prioritize own workloads to meet deadlines.
  • Ability to work independently and manage time efficiently.
  • Ability to establish and maintain effective working relationships with co-workers, managers and clients.
     

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • High School diploma with 4 years’ related experience; or equivalent combination of education, training and experience
