We are looking for a new colleague to help ensure excellent Administrative support to our employee community.

Your work would include:

  • Responding to first-level employee/vendor queries and redirecting to appropriate contact if needed.
  • Maintaining Admin files and confidential records, preparing necessary Admin documents and checklists for employee on-boarding and off-boarding.
  • Car fleet management, collecting related approvals and contracts.
  • Coordinating activities across the organization, events, planning and organizing meetings together with the wider team, preparing agendas, coordinating all logistics
  • Assisting in researching and compiling data and composing routine correspondence, reports and presentations for review and final revision by manager.
  • Coordinating travel schedules, arranging meetings and teleconferences
  • Responsibility for all incoming and outgoing mail and correspondence, such as courier deliveries, etc.
  • Providing relevant data, information, and back-up support materials to assist manager with day to day operations, as requested.
  • Ensuring that communications are promptly and accurately dispatched.
  • Assisting in the planning, coordination, and preparation of business meetings, luncheons, and dinners involving both internal and external clients, departments and companies as required.
    • You also may be responsible for taking and distributing internal meeting minutes.
  • Interacting with vendors, Accounts Receivable, Purchasing and Finance to research and properly code invoices for payment.
  • Taking responsibility for the selection and procurement of all Facilities related supplies.
    • You also may be responsible for the coordination and planning of facility needs (space, equipment, etc.)

  • Attention to details, attention to protecting personal data & keeping confidentiality
  • Working knowledge of MS Word and Excel.
  • Fluent English both written and spoken.

Education

  • High School Diploma with 4 years relevant experience; BA; or equivalent combination of education, training and experience.
