We are currently looking for an Administrative Assistant whose purpose is to perform diverse and complex administrative duties with broad business responsibilities necessitating high level contact and exposure to highly confidential information requiring considerable use of tact, diplomacy and discretion. Duties and responsibilities are complex in nature, broad in scope and require considerable judgment and initiative in resolving unique problems and making recommendations. Professionally represents the manager and/or department assigned.

RESPONSIBILITIES

  • Organize routine management team meetings – travel, scheduling, logistics, agenda preparation, securing meeting space
  • Coordinate communications from Regional Directors to their saleforces – Happy Birthday notices, congratulations letters, field announcements
  • Review and approval of time cards in Workday
  • Producing tracking reports in Excel to track expenses across various time periods and different regions of country
  • Administering a rewards and recognition system

Additional responsibilities that may be required

  • Make and change travel arrangements for four Regional Sales Directors
  • Expense reporting preparation (Concur)  for Regional Directors  Preparing sales force communications (receive content from Regional Directors, compile and distribute)
  • Arranging meeting logistics for sales training

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Strong computer skills (MS Office Suite, MS Word, MS PowerPoint, MS Access, MS Outlook, and Internet).
  • Excellent communication skills (written and verbal).
  • Ability to work both within a team environment and independently to prioritize tasks
  • Ability to maintain demanding timelines.
  • Ability to work independently and manage time efficiently.
  • Ability to be self-directed, prioritize opportunities and perform multiple tasks.
  • Ability to establish and maintain effective working relationships with coworkers, managers and clients

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • High School degree with 2 years related experience; or equivalent combination of education, training and experience

PHYSICAL REQUIREMENTS

  • Extensive use of telephone and face-to-face communication requiring accurate perception of speech
  • Extensive use of keyboard requiring repetitive motion of fingers
  • Regular sitting for extended periods of time
