IQVIA is looking for talented and passionate applicants at the Office Manager level to join our company in Warsaw.

Main responsibilities:

  • 90% office management, 10% Board Members support;

  • Coordination, planning and execution of company events;

  • Management of administrative support and reception, supervising fleet and mobile phone processes;
  • Organizing and scheduling meetings and appointments;
  • Organize office operations and procedures;
  • Coordinating with IT department on all office equipment;
  • Managing relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time;
  • Managing contracts with office vendors, service providers;
  • Providing general support to visitors;
  • Ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise;
  • Coordinating planning and execution of company events;
  • Developing and implementing office policies by setting up procedures and standards to guide the operation of the office;
  • Allocating tasks and assignments to subordinates and monitoring their performance;
  • Recruiting staff for the office and providing orientation and training to new employees;
  • Evaluating and managing staff performance.

Desired qualifications and experience:   

  • Proven office management, administrative or assistant experience;
  • Knowledge of office management responsibilities, systems and procedures;
  • Excellent time management skills and ability to multi-task and prioritise work;
  • Attention to detail and problem-solving skills;
  • Excellent written and verbal communication skills;
  • Strong organizational and planning skills;
  • Very good command of English;
  • Proficiency in MS Office;
