Job Description

The Delivery Support Services (DSS) member will provide proactive planning, coordination, and assistance to the Patient Centered Endpoints (PCE) project teams and broader PCE team.  The abilities to multi-task, “think fast on your feet,” creatively problem-solve, and provide accurate information, logistical solutions and quality results are keys to success. 

This DSS role will primarily include:
 

  • Act as Resource Manager (RM) owning project staffing for all teams within the PCE group
    • Manage all resource requests from Project Leaders and Managers
      • Assign appropriate resources according to project needs, including strategy consultants, scientists, statisticians, medical writers, qualitative researchers etc.
      • Assign contractors from subcontracting pool, as required
      • Actively track billable staffing assignments, BD support and initiative involvement and manage team utilization
      • Coordinate with other resource management teams from which resources work on PCE projects
    • At times, coordinate team calendars and time
    • Keep records and generate reports, as needed, on PCE Resource utilization
  • Support PCE training, hiring, and recruiting activities 
    • Attend calls with IQVIA TA regarding PCE candidates
    • Work with teams to develop and maintain recruitment approaches
    • Build processes and databases to leverage for future work
    • Coordinate recruitment and interview programs for various functional groups across the PCE team
    • Support new hire onboarding, as needed
    • Liaise with broader IQVIA human resource teams for the following:
      • Provide organizational and infrastructure support to PCE teams
      • Manage periodic review processes
      • Align career and competency models for PCE teams
  • Support project set-up and close-out activities
    • Convert proposal documents to Statements of Work
    • Facilitate contracting with PAGs, clinicians, vendors, subcontractors, etc.
    • Track details of project reporting and PCE metrics
  • Own project expense budgets and efficiencies 
    • Assist in budget scoping
    • Make requests for new purchase orders
    • Set up and ensure processing of invoices and incentives
    • Own financial tracking for out-of-pocket costs and billable time
    • Ensure vendors meet timing and quality standards
  • Communicate with the broader PCE team on behalf of the DSS as needed
  • Become familiar with the exact processes we are following and remain close to day-to-day functioning of the team

Other secondary DSS responsibilities and processes may include:
 

  • Own PCE knowledge management
    • Document maintenance, e.g., bios and CVs, catalog of instruments developed, publication log, etc.
    • Database integration and migration to new document repository system
    • SOP, tool, template development and refinement
    • PCE marketing initiatives
  • Support PCE Conference Attendance coordination
    • Manage PCE Conference Attendance master list and conference-specific records, including total spend per attendee
    • Coordinate conference attendance requests and approvals
      • Provide insight regarding total conference budget and other relevant information to decision-makers
  • Manage research partners and processes
    • Assist in business development efforts by creating plans for recruitment and overall execution with different research partners and sites
    • Work as part of project teams to coordinate with research partners and sites
      • At times, monitor recruitment to ensure participants meet the appropriate criteria and manage the interview scheduling
      • At times, review research materials (e.g., screeners, consent forms, IRB submission forms) to ensure compliance with IQVIA SOPs
    • Establish PCE processes for new recruitment channels
      • Identify and vet new recruitment partners (e.g., physician databases, site networks, patient advocacy groups (PAGs), etc.) and expand and maintain vendor databases
      • Set up new vendors / partners within internal systems
  • Work with PCE Quality Assurance team to build processes to ensure all legal and fiduciary requirements are consistently met
    • Receipt of high quality deliverables from partners
    • Safeguards against unnecessary expenses, inefficiencies and poor delivery 
    • Compliance with legal requirements (FMV, anonymity, etc.)
    • Liaison between PCE team and HR / finance / legal
    • Sunshine Act monthly reporting

Proposed/forthcoming DSS Responsibilities and processes:

  • Support PCE performance tracking
    • Research efficiency metrics

Education, Skills, Experience, & Specialized Knowledge:

  • Bachelor’s degree or equivalent
  • Ability to rapidly assimilate multiple types of information from a variety of sources for effective decision making
  • At least one year of experience of resource management in a consulting or professional services environment
  • Knowledge of life science consulting and/or patient centered endpoints research is a plus
  • Prior consulting delivery experience in a professional service environment would be beneficial
  • Proven problem-solving skills with attention to detail
  • Strong written and verbal communication skills
  • Ability to build strong business relationships and influence with key stakeholders at all levels within the business
  • Excellent team-based interpersonal skills with ability to work independently
  • Proficient in Microsoft Office applications
